Add or edit executions on a trade

How to add a missing fill to a trade by hand, what each execution type means, and why adding a closing fill closes the trade.

What this does

Lets you add or remove individual fills on a trade VEXA already holds. Use it when your broker’s export missed a fill, or when a position is stuck open because its closing fill never arrived.

Before you start

  • This edits an existing trade. It cannot create one. There is no way to type in a trade VEXA has never seen. For that, use the VEXA CSV template.
  • Editing recalculates the trade. Profit, average prices and the execution timeline are all rebuilt from the fills after your change.
  • Prefer re-importing a corrected file when the problem affects more than one trade. Hand edits are for one-off gaps.

Steps

  1. Open Trades in the sidebar and click the trade you want to fix.
  2. Scroll to the Executions Timeline.
  3. Click Add Execution.
  4. Choose the type: Entry, Scale In, Partial Exit, Final Exit, Stop Loss or Take Profit.
  5. Enter the price and the quantity for that one fill.
  6. Enter the commission if you want the profit figure to be net.
  7. Set the time. Order matters, so use the real time rather than now.
  8. Add a note if it helps you later, and tick Display on chart to mark it on the trade chart.
  9. Click Add Execution.

To remove a fill, use the remove control on its row in the same timeline.

What the types mean

Entry opens the position. Scale In adds to it. Partial Exit takes some off. Final Exit closes what is left. Stop Loss and Take Profit are exits, labelled so you can tell later how the trade ended.

The labels do not change the arithmetic. Quantity and direction do that. They change how the trade reads in the timeline and on the chart.

Adding a closing fill closes the trade

This is the part that surprises people. VEXA rebuilds the position from the fills, so a fill that takes the position to flat ends the trade there. An open position becomes a closed one, it moves out of Portfolio, and it starts counting towards your win rate and your scores.

That is usually exactly what you want when a broker export cut off before your exit. It is not what you want if you were only trying to record a partial, so check the quantity before you save.

Your edits are not overwritten by the next sync

A position you have edited by hand is marked as such, and broker syncs leave it alone rather than rewriting it from the broker’s own view. Without that, a sync and a hand edit would take turns overwriting each other and the position would swing between two versions of the truth.

The same protection means a genuinely wrong hand edit stays wrong until you fix it. Remove the bad fill rather than re-syncing and hoping.

What you should see

The execution appears in the timeline in time order. The trade header updates: profit, quantity and, if the position went flat, the exit time and an outcome. The chart picks up a new marker when you ticked the chart option.

An empty timeline reads “No executions recorded. Add your entries and exits to track your scaling strategy.”

If it doesn’t work

  • The trade closed and you did not want it to. Remove the fill you added. The trade reopens.
  • Profit still looks wrong after the edit. Check the commission field and, on futures, the contract size. A missing fill is rarely the only cause.
  • You need to add a trade that is not in VEXA at all. This form cannot. Use the CSV template.
